We’ll craft a strategy to meet your desired goals and recommend a customized solution to your specific needs with an upfront fixed monthly package.
We’ll provide a service engagement agreement clearly outlining our services and pricing and begin the on-boarding process to obtain all the information we need for your business. **Your full and timely cooperation is required for us to complete your books during on-boarding and each month thereafter.

“What will we discuss during the Discovery Call after I submit the contact form”?

After we receive your inquiry, we’ll arrange a time that works for you – should take no longer than 30 minutes. You’ll share your business, current pain points and bookkeeping needs. We can further see if we’ll be the right partnership and offer a suggested monthly package or one-time service (outlined underneath our pricing packages). Once we have agreed to move forward, we’ll send an engagement letter outlining the services we’ll provide for your business and begin the onboarding process.

“What is the “onboarding process” and why does it take as long as 4 weeks to complete?"

Once the onboarding process begins (following a signed engagement letter), we’ll begin setting up your QuickBooks Online file along with the important step of customizing your Chart of Accounts, Products and Services and Payment Gateways...; this can take no more than a week. The document portal – "Box" will be established for you to login and share your financial documents from the beginning, then every month thereafter, this can take up to another week. If additional services are needed, such as connecting APPs - “QuickBooks Time” – employee real time at work, “Tax Jar” – setup your Sales Tax nexus and process/pay all your Sales Tax requirements, “A2X” – Amazon marketplace extension to feed financials to your QuickBooks file, “Bill.com” - Accounts Payable management... all these APP additions can take up to 2 weeks to setup. We will provide all the steps required to complete the onboarding process for whatever workflow we agree to in our service engagement letter.

“We’ve been doing our bookkeeping in QuickBooks Desktop and it’s a mess, can you clean it up and move us to a new QuickBooks Online account?"

Yes! However, we do not specialize in QuickBooks Desktop. We can start a NEW QuickBooks Online account and opt to download your existing vendors/customers, products/services, and bank details from QB Desktop to an Excel file (.csv) and provide catchup on the monthly financials you need from a certain start point within your new QuickBooks Online account; preferably January or beginning of a new Quarter. It’s our recommendation to keep your QB Desktop as a source file.

“What is the Box App?"

If one of our pricing packages is selected, then during the onboarding process, we’ll establish a log-in for you to upload key financial documents that will be used to setup and complete your bookkeeping every month. Box makes the whole process easier and is a secure portal that many financial experts use to securely automate and collect financial documents that are necessary in maintaining your monthly bookkeeping and payroll.

“How do you keep our financial files safe (bank statements, credit card statements....)”

“Can you setup my Bookkeeping starting from scratch and process our Business Income Tax Return?”

We do not process Business Tax Returns. We do provide what you need to process your Business Tax Return with your CPA or Tax Professional by providing the necessary Financial Reports from your QuickBooks Online file.

If you are a startup who needs 2020 and/or 2021 financials, we recommend sending us the business bank and credit card account statements to formulate a Yearly Profit & Loss and Balance Sheet if needed so that you have what you need to keep your financials accurate.

“I may have done something wrong while doing my own Bookkeeping with QuickBooks Online, can you help?"

This will depend on how long you’ve done your bookkeeping in QuickBooks Online (longer than a year or more). If only a few months to under a year, we can take a quick look at your file to identify any issues that may avoid us being able to fix the file. Therefore, it may be best to start from scratch and provide us with the financial information to catchup in a new QuickBooks online file.

“We need to catch up and have a fresh start of all our bookkeeping since last year”

We’ll begin a new QuickBooks Online account and complete the process using your bank and credit card statements associated with your business to catchup all your bookkeeping to real-time and support your business bookkeeping ongoing.

“My e-commerce store is more of a side hustle and currently does not produce many sales, and I cannot afford monthly bookkeeping, is there any way you can help summarize my bookkeeping at year-end?"

"Yes, if you have a dedicated business or personal bank and/or credit card account(s) that are used for your e-commerce channel, then we can formulate a Profit & Loss Statement for the entire year by providing us the business or personal bank and credit card account statements. *If using a personal bank account – all income and expenses would have to be further noted as business income/expense related to the e-commerce store. Rates are $250 - $350 for one bank and one credit card account, or $400-$500 for two bank and two credit card accounts. The final report can be complete in most cases within 72 hours or no longer than a week."

"We do not use QuickBooks Online for this task and will present the final P&L using our Excel spreadsheet template. The final P&L can be used to process your tax return with your CPA or Tax Professional."

“How do we collect and pay our Monthly or Quarterly Sales Tax for e-commerce"

"Sales Tax is a complex area for e-commerce sellers. Sales tax rules vary by state and it’s important to monitor your compliance with each state’s filing thresholds and nexus rules."

For example, if your business operates only in the State of California, you will have to charge sales tax to customers purchasing within the state or online - if they reside in California where the sale of goods will be shipped/delivered.

We take Sales Tax seriously so that your business meets compliance requirements.

We highly recommend “Tax Jar” APP to monitor your multiple e-commerce stores / marketplaces since the rules to sales tax are changing frequently. Our pricing packages offer the TaxJar APP + A2X (for Amazon stores) as an extension to your monthly bookkeeping for $99 per month.

We’ll confirm the requirements of your Sales Tax Nexus during our onboarding process so that we have a solution of either monitoring your Sales Tax within QuickBooks Online through a manual process or include the Tax Jar APP in maintaining this important step of meeting your business compliance.

“How can we better monitor our employees/contractors time out in the field?”

“T-Sheets” is now “QuickBooks Time”. QuickBooks Online works with QuickBooks Time as an APP extension. Downloading the APP to all your employees’ mobile devices and from there we can setup and establish a connection to your QuickBooks Online account that will share data and further automate the necessary entries to your QuickBooks so you or us will have what we need to process payroll.
